Hellbender Hootenanny Policies

Waiver and Release

Hellbender Hootenanny attendees, vendors, performers, volunteers, and anyone entering the Lighthouse event field or neighboring areas as a result of the Hellbender Hootenanny event or participating in activities associated with this event at any time or location agree to the following:    


This event and participation and/or involvement in any of the activities surrounding said event is voluntary as such you are subject to following Waiver and Release:


 We, the Participants, attendees and their Guardians, Release and forever discharge and hold harmless Backpacks 4 Veterans, Summersville Lake Retreat & Lighthouse, the W.V. Hellbender and their successors and assigns from any and all liability, claims, and demands of whatever kind or nature, either in law or in equity, which arise or may hereafter arise from the activities as a participant with the Nonprofit, including claims arising out of negligence. We understand and acknowledge that this Release Discharges Nonprofit from any liability or claim that we may have against Nonprofit with respect to bodily injury, personal injury, illness, death, or property damage that may result from the Participant’s involvement in the Nonprofit’s activities. 


We the Participants, attendees and their guardians, affirm that the Participant is covered by primary medical insurance and understand that I am responsible for the Participant’s medical bills if injury occurs. Further, we understand that Backpacks 4 Veterans, Summersville Lake Retreat & LIghthouse, and the W.V. Hellbender do not assume any responsibility for or obligation to provide the Participant with financial or other assistance, including but not limited to medical, health or disability benefits or insurance of any nature in the event of the Participant’s injury, illness, death or damage to his or her property. We expressly waive any such claim for compensation or liability on the part of Nonprofit beyond what may be offered freely by Nonprofit in the event of such injury or medical expenses incurred by the Participant.  


 We, the Participants, attendees, and their Guardians, understand that the activities provided by Backpacks 4 Veterans, Summersville Lake Retreat & Lighthouse, and the W.V. Hellbender and which the Participant is involved in may include activities that are inherently dangerous to the Participant, including but not limited to observing or participating  in group motorcycle rides, stunt shows, biker motorcycle games, and riding motorcycles. We hereby expressly assume the risk of injury or harm of the Participant from these activities and Release Nonprofit from all liability for injury, illness, death, or property damage resulting from these activities.  


 We, the Participant, Attendees, and their Guardians, hereby Release and forever discharge Backpacks 4 Veterans, Summersville Lake Retreat & Lighthouse, and the W.V. Hellbender from any claim whatsoever which arises or may hereafter arise on account of any first-aid treatment or other medical services rendered in connection with an emergency during the Participant’s activity with the Hellbender Hootenanny. 


 We, the Participant, Attendees, and their Guardians, expressly agree that this Release is intended to be as broad and inclusive as permitted by the laws of the State of West Virginia and that this Release shall be governed by and interpreted in accordance with the laws of the State of West Virginia. We agree that in the event that any clause or provision of this Release is deemed invalid, the enforceability of the remaining provisions of this Release shall not be affected.  


By attending, participating in, volunteering at or becoming involved in the events and activities associated with the Hellbender Hooteanny you acknowledge that you are doing so in a voluntary capacity and as such you are subject to afformentioned terms of this Waiver and Release

Photographic Waiver

This event and participation and/or involvement in any of the activities surrounding said event is voluntary as such you are subject to following Photographic Release:


We, the Participants, Attendees, and their Guardians, grant and convey to the Helbender Hootenanny organizers including but not limited to Backpacks 4 Veterans, Summersville Lake Retreat & Lighthouse, and the W.V. Hellbender all right, title, and interest in any and all photographs, images, video or audio recordings of the Participant or his or her likeness or voice made in connection with the Participant’s involvement in the Hellbender Hootenanny event and activities, including but not limited to, any royalties, proceeds, or other benefits derived from such photographs or recordings.  

Raffle policy


This motorcycle raffle and fundraiser is conducted by Backpacks 4 Veterans, Inc, herein referred to as “B4V”. All proceeds from the entries will benefit the non-profit organization Backpacks 4 Veterans, Inc, a 501 (c)(3) organization chartered by the state of West Virginia.

§ 1.0 ELIGIBILITY: You must be 18 years of age to enter. Paid employees including, but not limited to, senior staff, employees, and Team Members of B4V, Summersville Lake Retreat & Lighthouse, and/or the WV Hellbender, along with members of their households, are not eligible to participate.

§ 2.0 FUNDRAISER DONATIONS: The raffle ticket price is not tax deductible as a contribution to Backpacks 4 Veterans. The cost of a raffle ticket is priced at (1) ticket for $20. Additional ticket packages have been made available at:

2.1 B4V reserves the right to offer additional multi-entry purchase discounts through other applicable promotions. There is no maximum number of entries an individual may purchase. Only official donation entries will be accepted. There is no limit to how many total entries B4V can print and sell. Odds of winning are determined only by the total number of entries sold. Entries may be made via https://www.zefy.com/en-US/ticketing/backpacks-4-veterans-motorcycle-raffle . Tickets may also be purchased in person at certain places or events at which B4V is present.

§ 3.0 ENTRY SCHEDULE: The B4V 2026 Raffle will commence on December 6th, 2026 when entries were first promoted and then became available. B4V reserves the right to run ticket promotions throughout the year and reserves the right to end any promotions at any time.

The random drawing will take place on Saturday, June 27th, 2026 at 6pm. All electronic entries on the B4V website must be received at B4V by June 27th, 2026 at 1:00 PM EST. All electronic entries on the B4V website that are received after June 26th, 2026 at 1:00 PM EST will default to the next year’s raffle.

All raffle winning decisions are final.

§ 4.0 RECEIPT OF PRIZE: The winner does not need to be present to win. The winners agree to arrange for removal of their prizes by July 27th, 2026. Failure to do so may result in forfeiture of the prize, which will then be awarded to alternate ticket holders No. 2, then No. 3.

Winners are responsible for the transportation and delivery of their prize motorcycle. Motorcycle is provided in as-is condition, and where-is location with no warranty or further consideration of B4V or its employees, donors or sponsors. Winners are responsible for any applicable taxes and fees including state and federal sales or income tax where applicable. B4V will comply with all applicable tax requirements, including reporting and withholding. B4V will mail applicable tax forms to winners and report prize winnings to the IRS. B4V will not be responsible for collecting the required withholdings upon the transfer of title of the motorcycle to the winner and remit to the appropriate authorities.

§ 5.0 GRAND PRIZES: First Prize: The First Prize Winner will win a custom 1989 Harley-Davidson FLSTC Heritage Motorcycle. Additional prizes may be awarded if available.

The winner will be contacted by telephone, e-mail and/or USPS mail as to his or her winnings immediately following the drawing. Winners will also be announced via the B4V website, and broadcast live via available social media platforms.

§ 6.0 ENTRY LAWS: The B4V 2026 Raffle is subject to all applicable laws, state or federal, and is void where prohibited or otherwise restricted by law. Entrants to this fundraiser are responsible for compliance with all such laws and regulations based on their age, place of residence, etc.

The winners release Backpacks 4 Veterans, Inc, 4 Dog Resort, Inc dba Summersville Lake Retreat & Lighthouse, its stakeholders and Board of Directors as well as any related project sponsors and builders from any responsibility or liability in connection with any loss, accident or death incurred with the use of this prize.

§ 7.0 ENTRY RULES: It is B4V’s right to amend, revise and interpret the Raffle Rules as it may see fit. It is expected that by donating money for an entry ticket, entrants will hold to the rules of entering as presented here. This document contains the only valid rules for the raffle, all other information either written or verbal that conflicts with this document is invalid and should be ignored.
